How your files are protected

• • Encryption: SSL/TLS encryption for all file transfers and storage — files move through our secure platform, never as email attachments.
• • Platform: Our customer portal is built on Salesforce with Salesforce Shield, which adds encryption, event monitoring, and audit trails.
• • Access control: Role-based access with multi-factor authentication; only the transcriptionists assigned to your project see your files.
• • Audits: Regular security audits of our platform and internal processes.

The people handling your data

• • Every staff member signs a confidentiality agreement (NDA) before accessing any research data.
• • All staff complete Protecting Human Research Participants (PHRP) training.
• • Our transcriptionists are US-based professionals who have passed a rigorous selection process.

Compliance and agreements

• • We are fully HIPAA-compliant and IRB-ready.
• • We are happy to sign a Business Associate Agreement (BAA) — request our templates or send your own.
• • Data de-identification (HIPAA Safe Harbor) is included with transcription at no additional charge.

Your data, your rules

• • Source files can be securely deleted on request once your project is complete — useful for IRB data-retention requirements.
• • We never share your files or data with anyone outside your project team.
